Terms & Conditions

Frogs Snails and Fairy Tales Indoor Play and Party

By using our facilities, services, or booking any activities at Frogs Snails and Fairy Tales ("we," "us," or "our"), you ("customer," "parent," "guardian," or "you") agree to be bound by these Terms and Conditions.

1. General Information and Booking

Business Hours: Monday to Friday, 9:30 am to 6 pm. Saturday and Sunday hours will vary, and we might be closed on certain weekends.

Age Requirements: Children must be accompanied by a parent or guardian at all times.

Online Booking: By completing an online booking, you agree to these terms and confirm that you are the parent or legal guardian of participating children, or have permission to book on their behalf.

2. Safety and Supervision
​

Parental Responsibility

  • Parents/guardians must supervise children at all times

  • Children under two years old must be within arm's reach of a supervising adult

  • Adults are responsible for children's behavior and safety

​

Facility Rules

  • Non-slip socks are required for all participants in the play area

  • No food or drinks in the play area

  • Follow all posted safety guidelines and staff instructions

  • Climbing or unsafe behavior will result in removal from the premises

​

Health Requirements

  • Children with fever, contagious illness, or open wounds may not participate.

 
3. Cancellation and Rescheduling Policy

 

Play Sessions

  • To cancel or reschedule, provide a notice via email before the session starts.

  • Open Play pass packages are valid for 6 months from the purchase date.

  • Pass extensions are only available if requested by email before expiration.

 

Parties

  • All party deposits are non-refundable

  • Rescheduling fee: $50 (subject to availability)

  • New party date must be within 3 months of the original date

  • Final headcount and payment are due on the party date

Classes

  • 24-hour notice required via email to cancel or reschedule

  • Classes are non-refundable

  • Canceled classes receive a makeup pass valid for 3 months

  • Walk-in participation is not guaranteed due to supply limitations

  • Class packages are valid for 3 months from purchase (no extensions)

Events

  • Events are non-refundable

  • Event tickets may be transferred to another person with an email notice before the event

​

4. Food and Beverage Policy

 

​Open Play Sessions:

  • Small individual snacks and drinks are permitted

  • Prohibited items include: fruit trays, pizza boxes, large sodas, coolers, cupcake trays, or any food intended for sharing

  • All food and drinks must be consumed in designated eating areas only

  • Parents are responsible for cleaning up after their children

​

Private Parties:

  • Outside food and non-alcoholic beverages are permitted in designated party areas only

  • All food must be packed 5 minutes before the party's end time

  • Children must clean their hands before and after eating

  • Party hosts and parents must enforce food area rules

  • Repeated food rule violations may incur a $25 cleaning fee

  • Standard cleanup is included in party services

  • Additional cleaning fees starting at $50 will be assessed for excessive mess requiring special attention, including but not limited to: rice adhered to flooring, widespread popcorn or similar snacks, candy, or sticky substances on play equipment or toys.

5. Party-Specific Terms

 

Venue Access and Timing

  • Parents will have access to the reserved area 20 minutes prior to the party's start time

  • Early arrival before the designated setup time will incur overtime charges

  • All party attendees must vacate the play area by the party's scheduled end time

  • Parents must have all items packed and removed within 10 minutes after party's end time

  • Overtime charges: $10 for every additional 5 minutes beyond scheduled times, including:

    • Arriving before the designated setup time

    • Remaining after the party's end time

    • Exceeding the 10-minute packing period

  • The cleanup process begins 5 minutes before the party's end time

  • An extended setup or packing time is available for an additional fee if booked in advance

  • Additional party hours can be booked ahead if available for up to 1 hour.

  • For parties lasting more than 3 hours, customers must book two party slots. 

 

Decorations

  • Only one single-flame candle permitted on the birthday cake

  • Prohibited: glitter, confetti, bubble machines, metal beverage buckets

 

Frogs, Snails, and Fairy Tales Decoration Packages:

  • Decoration items from our packages remain the property of Frogs Snails and Fairy Tales (except name cutouts and balloons)

  • A minimum $25 damage fee applies if decorations are damaged by children playing with them

  • Consultation Services: Up to 1 hour of consultation is included when purchasing our decoration packages to align decoration choices and preferences

  • Consultation Process: Submit decoration selections via email to snailmail@fsaft.com or schedule a complimentary consultation meeting (Monday-Friday, 9:30 AM to 6:00 PM). Maximum of two 30-minute consultation meetings per event for theme selection, layout planning, and design finalization

  • Item Selection: While we welcome your preferences, our team makes final decisions on item selection and placement based on space, safety, and overall design. We cannot guarantee specific items will be used exactly as requested.

  • Availability Disclaimer: Decorations provided for your event may vary from those shown in our photographs, party guides, website, or social media posts due to inventory changes and availability

  • Photography Disclaimer: Some items in our promotional photos may include client-provided decorations that are not part of our standard packages

  • Balloons: Balloon garlands are charged separately from the Decoration fee. The value will vary depending on the design and size. Please consult our services pricing for a full list of options. If we are providing balloon garlands, we will install and dispose of them after the event. Parents are welcome to take the garland home.

  • New Themes, customizations, and invitations: When developing a new theme or an invitation, customers will be able to provide two design reviews. Additional revisions will incur a new customization fee of $10 per revision. 

  • Our Commitment: We continuously update our inventory and will work with you to create a beautiful celebration using our professional expertise and current available items

Customer-Provided Decorations:

  • Decorations may not be pinned, nailed, or taped to any surface

  • Use existing hooks on the backdrop panel for hanging signs and banners

  • Customer is responsible for balloon disposal/removal after the party if they bring their own 

  • All decorations must arrive pre-assembled and ready to install

  • Limited Support: We will answer specific questions and review your final decoration plan, but we are not part of your decoration planning process

  • Consulting Fees: Party planning services, such as installation guidance, supply sourcing recommendations, or setup instructions, will incur consulting fees if requested

 

Third-Party Services

  • Frogs, Snails, and Fairy Tales is not responsible for third-party entertainer performance, punctuality, or services

  • Outside craft activities are prohibited. This includes: coloring pages, sticker pages, or any other craft set.

  • We allow you to bring your professional face painter and balloon artist.

  • Balloon vendors and decorators are welcome, as long as they are responsible for setup and cleanup after the event. They must respect the venue access and timing requirements.

  • Other vendors must be approved before the event.

Guest Conduct

  • Shoe covers or non-slip socks are required for all guests (exceptions for physical disabilities)

  • Single warning issued for unruly conduct before removal from premises

  • Damage to toys or structures from climbing or food/drink spills will be charged to the party host

  • Goodie bags must be distributed only as children exit the facility

6. Payment Terms
  • Payment is due at the time of online booking

  • All transactions are processed securely through our payment processor

  • Booking confirmation will be sent via email upon successful payment

  • Prices subject to change without notice

  • No refunds for unused portions of packages or passes

  • Remaining balances for party services are due on the day of the event

7. Liability and Risk

 

Assumption of Risk

By using our facilities, you acknowledge that physical activity involves inherent risks, including but not limited to:

  • Minor injuries from play equipment

  • Slips, falls, or collisions

  • Interaction with other children

Limitation of Liability

  • Frogs, Snails, and Fairy Tales is not liable for injuries resulting from normal play activities.

  • Our liability is limited to the amount paid for services

  • We are not responsible for lost, stolen, or damaged personal property

  • Customers participate at their own risk

​

8. Photography and Media
  • We may photograph or video activities for promotional purposes

  • By entering, you consent to the use of images featuring you or your children

  • If you do not consent, please notify staff immediately upon arrival

  • We respect your privacy and will not share images inappropriately

​

9. Prohibited Items and Behavior

 

Not Permitted

  • Weapons of any kind, including knives 

  • Alcohol or illegal substances

  • Aggressive or disruptive behavior

  • Inappropriate language or conduct

​

Removal Policy

We reserve the right to remove any individual who:

  • Violates safety rules

  • Displays inappropriate behavior

  • Fails to supervise children adequately

  • No refund will be provided for removal due to policy violations

​

10. Facility Maintenance, Disruptions, and Closures

 

Planned Maintenance

  • We reserve the right to close areas or the entire facility for scheduled maintenance, repairs, or safety inspections

  • Advance notice will be provided when possible via email, website, and social media

  • Alternative dates or refunds will be offered for affected bookings

Emergency Closures and Disruptions

We reserve the right to immediately close the facility or restrict access to areas due to:

  • HVAC system failures that create unsafe temperature conditions

  • Plumbing issues affecting bathroom facilities or creating unsanitary conditions

  • Electrical problems or power outages

  • Equipment malfunctions that pose safety risks

  • Emergency repairs are required for safe operation

  • Government-mandated closures or restrictions

Customer Options During Disruptions

 

Minor Disruptions: If essential services remain available and the facility is safe for use, sessions will continue with appropriate adjustments. No refunds or credits will be issued for minor inconveniences.

 

Significant Disruptions: If air conditioning, heating, or bathroom facilities are unavailable for extended periods, or if safety is compromised:

  • Open Play and Classes: Full refund or credit toward future visit

  • Parties: Rescheduling to the next available date at no additional cost, or a full refund if rescheduling is not acceptable

  • Customer Choice During Disruptions: If you choose to continue with your session, class, or party during any facility disruption after being informed of the issue, you acknowledge that you consider this a minor disruption and agree that no discounts, refunds, credits, or alternative arrangements will be provided. Your decision to proceed constitutes acceptance of the current facility conditions.

Weather-Related Closures

  • Severe weather closures will be posted on our website, social media, and communicated via email when possible

  • Make-up sessions or credits may be offered at management's discretion

  • No refunds for closures due to circumstances beyond our control

​

Notification Process

  • Emergency closures will be communicated as quickly as possible via available channels.

  • Customers with active bookings will be contacted directly when feasible

  • Current closure status will always be posted at the facility entrance and on our website

​

No Liability for Operational Issues

  • We are not liable for inconvenience, travel expenses, expenses related to ordering food, cake, or any other items for your event, or other costs incurred due to facility closures or disruptions

  • Our liability is limited to the refund of fees paid for affected services

  • Force majeure events (natural disasters, government actions, etc.) may result in closures without a refund obligation

11. Privacy Policy and Data Collection
  • We collect necessary information for service provision and booking management.

  • Information collected may include: name, email, phone, emergency contact, and children's ages.

  • Personal information is not shared with third parties except as required for payment processing.

  • Email addresses may be used for booking confirmations, reminders, and promotional communication.s

  • You may opt out of promotional communications at any time

  • We use secure systems to protect your personal information

  • Booking and payment data is retained for business and tax purposes as required by law

12. Modifications and Updates
  • These terms may be updated periodically

  • Current terms are always available at our facility and website

  • Continued use constitutes acceptance of updated terms

  • Major changes will be communicated via email when possible

13. Dispute Resolution
  • Good faith effort to resolve disputes directly with management is required

Your booking confirmation email will serve as proof of your acceptance of these terms.
